Join the Department of Administrative Services (DAS) as a Program Admin Assistant in the Risk Management team! In this dynamic role, you'll support the critical work of insuring and protecting state government activities, aiding program managers, and providing both administrative and technical support. You'll collaborate with state agencies, assist in program projects, and help ensure the smooth operation of risk management services that safeguard Oregon's people, property, and resources. As a Program Admin Assistant, you will provide both administrative and technical support to the Risk Management program. Your role includes aiding program managers in program activities and projects.
Key duties include:
Liaison & Communication: Support Risk program managers in communication with customers, state agencies, and officials. Research and prepare data for management decisions.
Program Monitoring & Administrative Support: Assist in tracking program activities and projects. Conduct research and interpret Risk statutes, policies, and procedures for team initiatives.
Meeting & Event Coordination: Schedule meetings, prepare materials, and record minutes. Support training sessions, special events, and related program activities.
General Administrative Tasks: Manage program emails, reserve state vehicles, maintain shared drives, and update templates using Adobe Pro.
Claims & Report Management: Administer the Citizen Report program, process Adult in Custody (AIC) injury claims, and manage related billing and payment. Maintain program files, policy manuals, and databases.

Part-time / Job Share Information
This position is a job-share and will share or split duties with another Program Admin Assistant.
This is a .5 position (20 hours/week). Pay Range for this position is $3948 - $5483 monthly, based on full-time status. Actual salary will be pro-rated for part-time employment.
Part-time employees are eligible for benefits at a prorated rate.
Shift is Monday- Friday, 8:00 AM -12:00 PM.
This is a hybrid position and will be expected to report to the office as needed.
This position is expected to start January 2, 2025.
What We Are Looking For
Minimum Qualifications:
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis;
OR
An equivalent combination of education and experience.
Desired Attributes:
Excellent written and verbal communication skills including the ability to communicate clearly and concisely to a wide and diverse audience.
Ability to work independently and prioritize work efficiently. Including the ability to plan work and follow up on task assignments while meeting overlapping deadlines in a fast-paced environment.
Skilled in using a computer and the Microsoft 365 suite (e.g., PowerPoint, Excel, Word, Outlook, Teams, etc.) and ancillary office equipment (e.g. iPhone, scanner, fax machine). Experience entering and/or retrieving data from a computer database, including while on a call.
Experience working with the public through multiple communication channels which include phone, email and in person customer contacts, including the ability to deescalate confrontational conversations.
Strong interpersonal skills with the ability to build rapport with others.
